How to Set Up Google Drive Offline

One of the major drawbacks to utilizing Google Drive for storing and editing your files is that once you find yourself without an internet connection, you are essentially out of luck. Students who do not have internet access at home may have a hard time completing assignments due to this limitation.

One of the lesser-known tools that is available to Google Drive users is the ability to use Drive apps and management tools 100 percent offline. That means that students would be able to type papers and edit Google Documents, Spreadsheets, and Slides among other files without needing internet access to do it.

How can you set this up? Follow these instructions to get started

1. Use The Chrome Browser
  • You must be using the Chrome browser in order to use Google Drive offline. 
  • If you want to enable offline access on both your laptop and desktop computer, you'll need to set it up two times — once on each computer. 
  • Offline access is also available on other Chrome devices, like Chromebooks. 
    • Use the instructions found here to help your students enable offline editing of their files in Google Drive. 
    • This means that if you were to assign homework in Google Classroom, the document would be created and inserted into the student’s Google Drive. If they took their computer or Chromebook home but did not have internet access there, they would still be able to work on the assignment! 
    • To turn in the assignment, the student would open up the document once at school and connected to the internet. The assignment would sync online AUTOMATICALLY, and they would be able to turn in the assignment at that time.

3. Enable Offline Editing in Google Drive 
  • As soon as you do, all of your Google documents, spreadsheets, presentations, and drawings will be available for offline viewing and editing. 
  • Because of space limitations, Drive stores at most 4,000 items or 5GB of data offline. 
  • In Google Drive, go to the Settings gear at the top right corner of the page and choose Settings. Then check the box to sync work to your computer.
   


Note: When you are in offline mode, the lightning bolt icon will appear at the top of your document as an indicator that you are working offline.
